CSI : an individual following up for each MADIS PhD student

In accordance with its mission of training doctoral students and preparing them for their future careers, the MADIS-631 Doctoral School has set up an individual thesis monitoring committee (CSI). Doctoral students registered each year must have obtained a favorable opinion from the CSI at the end of the year in order to be able to re-enrol in the following year.

To re-register in D4, doctoral students must have obtained a favorable opinion from the CSI-D3.

Deadline for defence without re-registration: 31 December

Role of CSI-D1

The CSI is a body whose role is to review the progress of the thesis, to ensure the existence and implementation of a training plan, to identify possible difficulties (and to recommend solutions to remedy them) and to verify that the thesis can be defended in conditions that comply with the rules in force. The committee should be seen as an opportunity for the doctoral student to review the progress of the thesis and the construction of the professional project. The favorable opinion of the CSI-D1 is essential for registration in D2.

For all D2 registration, an Individual Monitoring Committee (D1-CSI) is set up.

At minimum the committee includes

  • One or two members : 
    • One HDR specialist of the scientific domain and outside at  ULille, Centrale Lille, IMT and UGE (ESTAS and LEOST),
    • Two HDR: one specialist and one outside at ULille, Centrale Lille, IMT and UGE (ESTAS and LEOST).
  • One member of the Doctoral School MADIS (DED) who will be the chairman of the  CSI-D1 meeting.

Furthermore, monitoring committees can include non-HDR members who, because of their proximity in age, can facilitate the expression of doctoral students.

CSI-D1 Paper 

The PhD student provides a paper on its work, two weeks before the meeting, to all members of the CSI. 

This paper will include a minimum of 7 pages with the following scheme :

  • Brief description of the thesis subject and its goals (min 1/2 page);
  • Main references - state of the art (min 1 page);
  • Progress work in accordance with goals and key results (min 3 pages). A statement of policy regarding results dissemination in terms of publications and software production;
  • Roadmap for the next two years with the expected contributions and a schedule, (min 2 pages);
  • Doctoral Training modules completed;
  • Professional project.

CSI-D1 meeting

CSI meeting includes :

  • Presentation about 20 mn + questions.
  • Meeting between members of CSI and the supervisor (and co-supervisors).
  • Discussion between members of CSI (without the PhD supervision) and the PhD student.
  • At the end of the meeting, a collective report will be written under the authority of the CSI chairman. This report is posted by the DED  in ADUM.

Important deadlines

  • PhD student sends the composition of the CSI to the leader of speciality in his/her field, for its opinion, before May 6 th, 2024. MADIS enters the composition into ADUM.

  • CSI paper has to be sent 15 days before the meeting.

  • D1-CSI :  September 15th, 2024
  • MADIS registration :   November 25th, 2024
  • Institution registration :   December 15th, 2024

Role of CSI-D2

The CSI-D2 role is to review the progress of the thesis, to ensure the existence and implementation of a training plan, to identify possible difficulties (and to recommend solutions to remedy them) and to verify that the thesis can be defended in conditions that comply with the rules in force. The committee should be seen as an opportunity for the doctoral student to review the progress of the thesis and the construction of the professional project. Composition of CSI-D2

The composition of the CSI-D2 is the CSI-D1 with the leader of the Graduate School, which plays the role of referent of the CSI;

Expectations of the progress report for the CSI-D2 (content)

  • Brief description of the subject of the thesis and its objectives (about 1/2 page).
  • Main bibliographical references - state of the art (about 1 page).
  • Progress towards these objectives and main results obtained (about 3 pages). Elements concerning the dissemination of results (publications, patents, communications, etc.), already achieved or to come, are expected.
  • Research directions identified for the continuation of the thesis (about 2 pages).
  • Doctoral training modules followed.
  • Professional project.
  • Portfolio of skills (cf. tutorial). 

The whole report will therefore be about seven pages long (not including the portfolio of skills).

Meeting of the CSI-D2

As a minimum, the CSI-D2 meets at the end of the second year of the thesis and before registration in the third year.

The CSI-D2 meeting will take place between the doctoral student and the CSI referent (the MADIS leader), based on the activity report and the written opinions of the thesis supervisor and the CSI members.
The doctoral student does not have to prepare any slide for this meeting. 

Only the doctoral student participates at this meeting (the supervisor does not participate at this meeting).

The doctoral student must be able to express herself/himself very freely during this meeting. Everyone is expected to be discreet about what has been discussed during the meeting and to be considerate.

If necessary, one week before the meeting, the doctoral student will give the CSI referee a confidential letter on the presumption of harassment.

At the end of the meeting, a report of the committee is drafted and filed by the referee on ADUM as a PDF file.

An additional meeting may be considered at the request of the doctoral student and/or the thesis director.

Important deadlines :

  • 20 May: Submission of the doctoral student's activity report on https://ed-madis-csi-d2-2023.sciencescall.org. This report is an update of the report written for the CSI-D1. This report must contain your portfolio of skills (see tutorial for filling in the portfolio of skills). 
  • 20 June: Submission of the written opinion of the thesis supervisor and the members of the CSI.
  • 26 June: Start of the CSI-D2 interviews between the doctoral student and the CSI referent (the MADIS leader), based on the activity report and the written opinions of the thesis supervisor and the CSI members.
  • 15 September: end of the CSI-D2 interviews.
  • 15 November: deadline for re-registration to MADIS.
  • 15 December: deadline for re-registration in the institution.

Why CSI-D3?

  • A defence in 2023 requires a 2022-2023 registration
  • The CSI report with favorable decision is required for D4 registration

  • The supervisor and co-supervisors

  • A member of the Doctoral School MADIS (DED) who will be the chairman of the D3 CSI meeting

PhD student prepares the answers to the following questions during the CSI meeting

  • What is the current state of the thesis?
  • List of submitted and accepted publications?
  • How many CFD?
  • Why a D4 registration?
  • What is the planning until defence?
  • What is the funding certificate until defence?
